Purpose of the Role
The Commission for Gender Equality is seeking a highly organised and professional Personal Assistant (PA) to the CFO to provide comprehensive secretarial and administrative support to the Chief Financial Officer and the Finance Unit at our Head Office in Johannesburg. This role is ideal for an experienced Personal Assistant with strong organisational, communication and administrative skills, and a solid understanding of financial terminology.

Key Duties and Responsibilities

Provide secretarial and administrative support to the CFO, including but not limited to:

  • Answering, screening and directing calls for the CFO’s office.
  • Acting as a liaison officer on behalf of the CFO’s office with internal and external stakeholders.
  • Making travel and accommodation arrangements and other reservations for the department.
  • Preparing reports, presentations and correspondence as requested by the CFO and Finance Manager.
  • Arranging and managing appointments, calendars and schedules for the CFO.
  • Organising and preparing meeting venues, compiling agendas and taking minutes for:
    • Finance and Administration meetings
    • Finance Committee
    • ICT Committee
    • Loss Control Committee
    • Bid Adjudication Committee (BAC)
    • Assets Disposal Committee
    • Any other meetings as instructed by the CFO’s office
  • Proper filing of all departmental documents and maintaining archived records.
  • Monitoring, checking and ensuring the accuracy of financial documents and information pertaining to the CFO’s office.
  • Organising and managing the day-to-day activities of the CFO’s office, as delegated from time to time.

Minimum Requirements

  • Diploma or Degree in Administration or equivalent qualification.
  • Minimum of 3 years’ relevant work experience as a Personal Assistant.
  • Intermediate/advanced computer literacy (MS Office and related applications).
  • Must be a South African Citizen.

Competencies and Skills

  • Strong organisational and planning skills.
  • Problem-solving and analytical ability.
  • Excellent written and verbal communication skills.
  • Typing skills of at least 35 words per minute.
  • Ability to handle confidential information with discretion.
  • Understanding of basic financial terminology.
  • High levels of honesty and integrity.
  • Ability to multitask and prioritise effectively in a fast-paced environment.
