Requirements :
– Grade 12 Certificate.
– No experience required.

Knowledge Required :
– Understanding of clerical duties and practices.
– Ability to capture data and operate a computer.
– Ability to collect statistics.
– Knowledge of the legislative framework governing the Public Service.
– Knowledge of working procedures within an office environment.

Skills Required :
– Good communication skills (verbal and written).
– Language skills.
– Planning and organisational skills.
– Computer literacy.
– Interpersonal relations.
– Flexibility.
– Ability to work within a team.

Duties :
– Record, organise, store, capture, and retrieve correspondence and data.
– Update registers and statistics.
– Handle routine enquiries from clients or staff.
– Make photocopies, and send/receive fax messages.
– Distribute documents and packages to internal and external stakeholders.
– Maintain a proper filing system for the component.
– Type letters and correspondence when needed.
– Maintain incoming and outgoing document registers.
– Take and draft meeting minutes.
– Liaise with internal and external stakeholders regarding procurement.
– Obtain quotations and complete procurement forms for standard office items.
– Manage stock control of office stationery.
– Maintain the asset register of the component.
– Maintain the leave register.
– Keep and update personnel records.
– Maintain the attendance register.
– Arrange travel and accommodation for the component.
– Capture and update expenditure records.
– Check the correctness of subsistence and travel claims and submit for approval.
– Handle telephone accounts and petty cash.
