This position is responsible for running the Site Administration Office within a business unit. The role ensures effective planning, organisation, and control of administrative operations to achieve high standards of quality, efficiency, financial compliance, and operational accuracy.
The successful candidate will manage HR administration, wage processes, stock control, safety documentation, and site communication between departments and management.
Key Responsibilities
Site Administration Office Management
- Provide end-to-end HR policy and procedure support
- Ensure accurate completion of purchase requisitions and contract allocations
- Receive and verify goods and services against delivery notes
- Manage site stock including diesel, PPE, and general stores
- Maintain accurate records and inventory control systems
Safety & Training Administration
- Ensure database backups are maintained and secure
- Prevent loss or damage of office property
- Maintain proper housekeeping standards at the site office
Personal Administration (HR Support)
- Liaise between site administration, HR department, and site managers
- Compile monthly HR reports and submit required data
- Maintain employee personnel files for wage staff
- Handle leave administration and employee HR records
Wage Administration
- Compile and submit monthly time book documents for payroll
- Handle wage queries and employee payment issues
- Manage onboarding (sign-on) and exit (sign-off) procedures
- Ensure accurate wage documentation and approvals
Communication & Reporting
- Maintain accurate wage and HR communication records
- Resolve employee administrative queries
- Ensure smooth communication between departments and payroll
Client Relationship Administration
- Promote a professional image of the site office
- Maintain strong relationships with internal teams and stakeholders
